2010.10.28   Actual Date Fields Added to Task Reports
With the addition of the “Actual Start Date” and “Actual End Date” fields in version 4.8, we had to make these fields available in task reports.
From now on, these date fields will be available in the following reports, at both the project and project portfolio levels:
  • Task Report by Date: Both fields have been added to the date drop-down filters and show up next to the “Estimated End Date” column in the report.
  • Overview Task Report: Both fields show up next to the “Estimated End Date” column in the report.
  • Non-Assigned Task Report: Both fields show up next to the “Estimated End Date” column in the report.

2010.10.07   Editing the Email Notifications’ Subject Line
We have been addressed some dissatisfaction with regards the email notification’s subject line format. First, there was no alternative if you disliked the format and second, we realized that the biggest problem was the task name that was missing. “New Task #48 by Peter – Project ABC” didn’t mean much to most users and required opening the email every time to learn more, which isn’t great from a time-saving standpoint.
Once again, we listened and found a solution. From now on, you’ll be able to use either the good old format, or the new one, which is more significant. Here are examples:
  • Task # modified by user – project name (good old format)
    • Example: Task #48 modified by Peter: Office Construction Project
  • Task created/modified by user: # summary (new alternative format)
    • Example: Task modified by Peter: #48 Install Lighting

2010.09.27   Predefined % Done
We really enjoy our new way to release features. Any enhancement that comes to our mind can be released in a matter of days or weeks. Some enhancements will require more time, of course, but there are many things we can release quickly. Every week or so, something fresh will be added to AceProject.
Our latest release, version 2010.09.27, includes an enhancement we had on our wishlist for quite a while. We are glad to introduce a new field at the project level called "Predefined % Done". Essentially, this will empower project managers to set a default % Done value to any "In Progress" task status.
As an example, let’s say you have 5 task statuses in a project. From now on, you’ll be able to set Predefined % Done values like that:
  • "To Do" ("Waiting" type) - Predefined % Done = 0% (built-in value, uneditable)
  • "Submitted" ("In Progress" type) - Predefined % Done = 40% (custom value)
  • "Reviewed" ("In Progress" type) - Predefined % Done = 90% (custom value)
  • "Published" ("Completed" type) - Predefined % Done = 100% (built-in value, uneditable)
We feel this option is a great time-saver as it enables you to skip a step when updating tasks. Most of the time, it will not be necessary to update the % Done manually.
Another enhancement we made is empowering administrators to delete documents on completed projects. We have been reported this annoyance often enough to fix it.
Finally, we added the usual social media icons on the login page. This way, it will be easier for you to subscribe to our RSS feed and follow us on Twitter, Facebook, LinkedIn, and YouTube.

2010.09.15   "Show/Hide Columns" Task List Update
Since we added expense tracking to AceProject 4.8, we had to make the new fields available in task lists. From now on, you’ll be able to add the "Estimated Expenses", "Actual Expenses", and "My Actual Expenses" fields to the "Show/Hide Columns" option in the "My Tasks", "Incomplete Tasks" and "Completed Tasks" pages. We also added the "Actual Start Date" and "Actual End Date" fields to the "Show/Hide Columns" option.

Furthermore, we renamed the following fields:
  • Estimated -> Estimated Hours
  • Actuals -> Actual Hours
  • Due-Date -> End Date
  • Start Date -> Estimated Start Date
  • End Date -> Estimated End Date

We are proud to introduce version 4.8 which is overall one of the most important releases we have put out in years.
  • Expense Tracking - After years of requests for this, here it is! You can now submit and approve expenses, as well as generate reports. The expense tracking module works as does the time tracking module. Hence, you'll be up and running with these functionalities in no time.
    • This feature can be disabled at the account level. Hence, if you don't want to track expenses, the interface will not make any mention of expenses whatsoever.
  • Weekend Management - We offer more flexibility with regards to how work weeks are managed. You can now indicate whether weekends are working days or not at the task level. Furthermore, if you use task dependencies and push out or pull in Estimated End Dates, AceProject will adjust subsequent task dates accordingly, maintaining the same number of working days.
  • Estimates vs Actuals - Many of you felt AceProject lacked a number of fields that would allow you to compare estimates and actuals. You'll notice new field groups have been created at the project and task levels just for this purpose. These groups contain fields for start dates, end dates, hours and expenses.
  • Assignment Tab Removed - You felt navigating from the main Edit Task Information page to the assignment grid was a hassle? So did we! That is why you'll now find the assignment grid immediately under the Details field.
  • Menus Reorganized - Menu items are now grouped together by theme, for easier navigation.
  • Smartphone-Friendly Comment and Details Fields - With the growing number of smartphone users, we had to make AceProject more mobile-friendly. Despite the fact that we have yet to release a mobile version of AceProject, the first obstacle we had to overcome was making the Comment and Details fields, at the task level, editable from a mobile device. This has been achieved through a plaintext mode. The same solution has been applied to the Mailbox, Discussion Forum and the Notepad too.
  • User Workload Report Enhancements
    • A third algorithm to compute estimated hours has been added. This option computes daily allocation hours strictly based on estimated hours, start and end dates.
    • You can now export the user workload report to Excel.
  • Default Values -  You can now set a default value for your types, groups, statuses and priorities. You can make any value in the drop-down the default, not necessarily the one with the smallest order number.
  • Other Changes
    • The contextual help now shows up in a frame within the current window instead of in a new window or tab.
    • Task history is always enabled.
    • Each user can select their own branding parameters.

10/06/2009 Source Code Version 4.7 is Ready
Version 4.7 was released a few weeks ago for Hosted package customers. This has given us the chance to fix last-minute issues in order to offer a stable Source Code version. The new enhancements have been welcome and much appreciated thus far.

AceProject 4.7 is packed with new features, and important improvements to make AceProject an even more usable project management tool.
  • New Project Portfolio - AceProject has a new Portfolio tab, which shows all assigned projects together. Gantt charts, Calendars, and reports can now be produced regardless of project, without requiring access to the Admin tab. The "Administration-Limited Mode" access right was renamed to Portfolio.
  • User Workload report improvements - The User Workload report now highlights over-allocated days when time assigned exceeds what is configured as a typical workday for the user. A default value for the typical workday can be entered at the account level, and adjusted on a user-by-user basis.
  • Custom SMTP Server - Administrators can now configure their own email server to send email notifications. This will help fix email notification delivery issues for many users.
  • Mandatory Task dependencies - Dependencies can now be mandatory or not, allowing a task to be started while its predecessor is not completed.
    • This adds flexibility, especially when unplanned changes occur in a project. AceProject now also proposes start and end dates for a task when creating a dependency.
  • Time sheets are now easier to use and track.
    • Users can now enter time in hh:mm format in their time sheets. The time entered will be converted to decimal format when the time sheet is saved.
    • Weeks can now be created automatically.
    • Date stamps are now kept for the creation date, last update, and approval date for the work item and time sheet.
  • Creating a project from a template is now easier:
    • It’s now possible to reset task statuses when copying an active project, speeding up the project creation process even more.
    • Discussion forums can now be copied over to the new project.
    • It is no longer necessary to have the Project Manager access right on a template to copy it.
  • Changes to AceProject’s look:
    • All icons have been redesigned, for a cleaner, more uniform look throughout the application.
    • We also created a new Mac-style skin.
  • Other Changes
    • Estimated hours for a task can now be divided equally amongst all assigned users. This change affects all existing tasks in the account. The division can be disabled on a task-by-task basis.
    • User preferences have been modified to let Administrators prevent a user from changing his or her email preferences.
    • The Task History terminology has been improved to make it easier to read and understand.
    • International characters are now supported natively in all AceProject packages.
    • Actions such as locking and unlocking documents are now available in the Document Search page.
    • Email notifications can now be disabled when making bulk changes via the Quick Action drop-downs in task lists.
    • Projects, clients, users and the account page now display a date stamp for the last update.
    • Company Name and Company Login Name have been renamed to Account Name and Account ID.
    • It’s now possible to search the client list.
    • Project access rights have been modified: Edit Task Level access rights D3 and D4 have been removed. As a result, the old D3 is now D1 and the old D4 is now D2.

01/19/2009 Source Code Version 4.6 is Ready
Version 4.6 was released a few weeks ago for Hosted package customers. This has given us the chance to fix last-minute issues in order to offer a stable Source Code version. The new enhancements have been welcome and much appreciated thus far.

To request your version upgrade, simply ask for the upgrade to be emailed to you. If you have no free upgrades banked, you may purchase a version upgrade for $395 here (jump to step 1C).

AceProject 4.6 is full of customer-requested improvements that are sure to make project management easier and smoother.
  • Active and Inactive Project Templates - AceProject now has both active and inactive project templates.
    • An active template is a project you can use as both a template and a project to work with. Its entire structure can be copied. Its tasks are displayed in task lists, such as "My Tasks".
    • An inactive template is a project you can only use as a template. Its entire structure can be copied. However, it cannot be used to work with as its tasks are not displayed in task lists, such as "My Tasks". No email notification is sent for inactive templates.
  • Document Management Enhancements - There have been many improvements to the documents feature.
    • File Attachments are now Task Documents Same function, new name. We wanted to make AceProject more uniform throughout its interface. We simply renamed File Attachments for Task Documents.
    • Public Documents - AceProject now allows you to share a document with someone who is not logged in to AceProject (even non-users). When you set a document as public, you can send its link to anyone and they will be able to see the document. When you send a private document’s link to someone, they need to log in to AceProject to see it.
    • Document Search - We created a document search page, where you can look for Task Documents and Project Documents. Document Search is available at the project and at the administration level.
    • Deleted Documents - When a document is deleted, where does it go? Now, it goes to the Deleted Documents page, in the Administration section. Deleted files will remain available for 30 days after they are deleted. You can open and save those files on your computer. If they were deleted by mistake, you can then upload them back to their project or task.
  • Email Notifications - Two new email notifications settings are now available.
    • You can turn on email notifications if you are the creator of the task. This is useful if you are the project manager and would like to know what your team is up to. If you create tasks but do no manage the project, turning off email notifications on tasks you created will reduce the amount of unwanted AceProject emails you receive.
    • You can request email notifications when you can start working on a task that is part of a dependency chain. If your task can only start once another is completed, AceProject will email you when the task’s predecessors are completed.
  • A New Help System - Because we wanted to explain things in a way that couldn't be clearer, AceProject’s help system was completely rebuilt to improve usability and readability. We added images, screenshots, and now show every field in the system.
  • Other Changes
    • We changed all date filters in AceProject to make them more readable. Instead of a mathematical symbols such as < , you will now see “is earlier than.”
    • Save a task without closing it - We added an option to the task update menu: Update + Leave Task Open. This option enables you to perform additional changes on the “Edit Task Information” page immediately after saving. We’ve added this option to the “Edit Project Information” and “Edit User Information” pages as well.
    • Task comments have changed - We improved the look and usability of the task comments box, so that more width is allowed for the text in the comment thread. We also widened the comment box.
    • The "Open this project…" drop-down is now sorted by project type. This should make finding your project in a long list much easier.

Once again, we went through our wishlist and came up with enhancements that had been requested for a long time.
  • Gantt Charts Got a Major Makeover - We have implemented new Gantt charts, which are actually in Flash format. Our customers will be glad to notice that:
    • They are now quite easy to print. They can be either shrunk to fit the paper size, or be printed in full size with your preferred printing tool.
    • They can be saved as a jpg image, which can be emailed.
    • Task dependencies are now clearly identified. Actually, progress bars are linked with dotted lines when the corresponding tasks depend on each other.
    • A "Daily View" is now available at both the project and the administration levels.
    • A month and a year drop-down have been added in order to let you move back and forth in time more quickly.
  • Parent/Child Project Relationship - Project templates are now more convenient to use thanks to the "Parent/Child" relationship. It lets you create a parent project which can have several child projects that are linked with it. This way, whenever a structure change (groups, types, statuses and priorities) is applied to the parent project, all its child projects are updated accordingly.
  • Skins Introduced - We are proud to add this design option to the "Branding" feature. Eight pre-defined themes are offered and various interface elements can have their colors changed separately. This feature is available in all packages.
  • Improved Navigation Within and Between Items
    • Navigation buttons to view the previous or the next task have been added to the "Edit Task Information" page.
    • When creating or editing a user, a project or a task, a drop-down list can be expanded by clicking an arrow next to the "Update" or "Save" button. The drop-down suggests actions to perform further to the creation or update.
  • Extra Timezones Added - In order to accommodate our international customers, we have added the following timezones to the account and user preferences: Iran (GMT+3:30 Tehran), India (GMT+5:30 New Delhi), Nepal (GMT+5:45 Kathmandu), Myanmar (GMT+6:30 Rangoon) and Central Australia (GMT+9:30 Adelaide).
  • IN/OUT Module Now Easier to Open and Close - The IN/OUT time clock can now be started from the "My IN/OUT" page, in the "My Office" section. There is no need to open a task anymore to do so (although the module can still be started that way). The "My IN/OUT" page now displays the "New IN/OUT" page if you are not clocked in, or the "Close OUT" page if you are.
  • Other Changes
    • Users can now add hours to their time sheet from the "Edit Task Information" page.
    • A user can be assigned to or un-assigned from multiple projects, in one step.
    • Multiple tasks can be deleted and updated simultaneously from the "Incomplete Tasks" page.
    • Overall usability has been substantially improved.
    • Administrators can decide whether a user can access the contextual help links and the "Help" tab. This feature lets you prevent a user from viewing the help topics if he/she doesn't need them, or should not view them.
    • The following task filters can now be applied when generating custom task reports: "Task Groups", "Task Types", "Task Statuses" and "Task Priorities".
    • The "Contact", "Dependencies", "Settings" and "Default Values" information is now carried over when creating a new project from a template.
